Privacy Policy
MindKnow.ai helps businesses capture, organize, and use company knowledge. This policy explains the information MindKnow may process when providing the service and how that information is handled.
1. Your company owns its information
Your company retains ownership of the business information it provides to MindKnow, including interview content, company knowledge, Company Brain content, procedures, playbooks, corrections, and other materials supplied through the service. MindKnow does not take ownership of that information.
2. Information we process
MindKnow may process information provided by business owners, employees, managers, and other authorized participants, including names, roles, business details, interview audio or transcripts, operational knowledge, corrections, and generated Company Brain or playbook content. We may also process basic technical information needed to operate and secure the service.
3. How the information is used
Company information is used to provide MindKnow features such as interviews, knowledge organization, Company Brain content, procedures, playbooks, gap identification, corrections, and customer support. MindKnow does not sell a customer's company information.
4. AI and service providers
MindKnow uses third-party technology and infrastructure providers to operate the service, including services used for artificial intelligence, hosting, databases, and related technical functions. Information may be processed by those providers as necessary to deliver MindKnow. Their handling of information is also subject to their applicable service terms and privacy commitments.
5. Access to company information
Access is intended to be limited to authorized users for the applicable company and, when necessary, MindKnow personnel supporting or operating the service. Knowledge-holder interview links are designed to allow invited participants to contribute information without automatically giving them access to the company's full Company Brain.
6. Voice interviews and transcripts
When a participant uses a voice interview, the conversation may be transcribed and stored as part of the company's MindKnow record so that the information can be organized and used within the service. Participants should only provide information they are authorized to share on behalf of the business.
7. Corrections and accuracy
MindKnow uses AI and may occasionally misunderstand, mis-transcribe, or organize information incorrectly. Customers should review important outputs and can correct company information when needed. AI-generated content should not be treated as legal, accounting, tax, or other professional advice.
8. Retention and deletion
Company information may be retained while needed to provide the service, maintain the customer's Company Brain, support the pilot or customer relationship, meet legal obligations, or protect the service. Customers may contact MindKnow to request deletion of company information, subject to legal, security, backup, or operational requirements.
9. Security
MindKnow uses reasonable technical and organizational safeguards appropriate to the current stage of the service. No online service can guarantee absolute security, and customers should protect private access links and only share them with intended participants.
10. Changes to this policy
MindKnow may update this Privacy Policy as the service develops. The effective date at the top of this page will be updated when material changes are made.
